Bid Sheet Calculations Explained

This article provides a detailed explanation of the Bid Sheet, outlining each column and its purpose. It serves as a reference for understanding how bid quantities, costs, markups, and resource breakdowns are calculated and adjusted within the Estimating Link Software.

Bid Sheet Overview

The Bid Sheet provides a summary of all Primary Items related to a project. It displays each item's costs and markups in an easy-to-read format. Every Bid is created and finalized here, based on exact software calculations using:

  • User inputs from the Item Sheets
  • Markup Summary
  • Additional tools

  • Adjust final unit pricing and markup
  • Unbalance the bid
  • Round totals into dollars and cents

 

Column Descriptions

👉Bid Qty / Takeoff Qty

  • Bid Qty: Quantities provided by the engineer, state, or owner.

Takeoff Qty: Quantities calculated from your own measurements (your 'pay quantity'). Shown only for reference.

Color indicators for Takeoff Qty:

  • Green: Overrun
  • Red: Underrun

👉Calc. Unit Cost / Unit Cost

  • Calc. Unit Cost: Unit cost plus markup, as calculated from the Markup Summary.
  • Unit Cost: Raw unit cost from the Item Sheet.

👉Bid Unit

This is the required item quantity used to calculate the bid. It can be manually modified.

👉Total Bid / Total Cost

  • Total Bid: Bid Qty × Bid Unit
  • Total Cost: Bid Qty × Unit Cost
  • Note: This may differ from the Item Sheet cost if Takeoff Qty ≠ Bid Qty

👉Markup %

  • Initially pulled from the Markup Summary
  • Can be manually overwritten
  • Doing so removes the asterisk and finalizes the Bid Unit

👉Item Spread

  • Formula: Total Bid – Total Cost
  • Indicates how much profit is built into that item

👉Print Subtotal

Checkbox used to display subtotal Bid Items on:

  • Proposal report
  • Bid Sheet report

👉Resource Breakdown (12 Columns)

Each resource type shows both Unit Cost and Amount (Unit Cost × Bid Qty). Amounts include a total sum of all active items.

👉Total Bid Calculations (Bottom of Bid Sheet)

  • Actual Bid
    • Total of all Bid Items after rounding or manual manipulation.
  • Balance Bid
    • The exact calculated Bid Price generated by the software based on your inputs from the item sheets and markup.
  • Unbalanced 
    • The difference between the Actual Bid and Balanced Bid. 
    • If this number is in red, then your actual bid is lower than your balance bid.
    • If this number is in green, your actual bid is higher than your balance bid.
